Job Description

Departments to Support – Shared Services:  Diverse Departments

The Shared Department Administrative Assistant serves an Executive Admin and is the central hub for cross‑departmental operations. From scheduling and document control to budgeting and vendor coordination, you’ll ensure that our shared services run smoothly and that all teams can focus on what they do best. This role demands strong organizational skills, a keen eye for detail, and the ability to communicate clearly with people at every level of the organization.

Primary Purpose

To provide efficient, proactive, and compliant administrative services that empower every department within SAS to focus on its core mission. The Dept Admin will assist deliver administrative services in a unified, streamlined workflows while maintaining the highest standards of confidentiality, data security, and regulatory compliance.

Education & Experience

  • Education – Bachelor’s degree in Business Administration, Management, or a related field (or equivalent work experience).

  • Experience – 10+ years in a corporate or shared services administrative role, with demonstrable experience coordinating cross‑departmental activities.

Responsibilities

1. Calendar & Meeting Operations
Manage a shared multi-team calendar, coordinate global meetings, book rooms/tech/catering, prepare agendas, record minutes, and track action items to completion.

2. Documentation & Knowledge Management
Create, review, and maintain project charters, meeting notes, and compliance records while ensuring version control, naming standards, and audit-ready archiving.

3. Budgeting & Expense Oversight
Track departmental spend, consolidate expenses, reconcile month-end entries with Finance, monitor invoices, flag budget variances, and identify cost-saving opportunities.

4. Cross-Functional Liaison
Serve as first contact for inter-department requests, route inquiries, ensure timely resolution, and draft internal communications, memos, and intranet updates.

5. Vendor & Contract Management
Maintain vendor lists, support basic service agreement negotiations, and track contract renewals.

6. Event & Onboarding Coordination
Plan onboarding, workshops, and team-building events; manage logistics, vendors, and post-event evaluations.

7. Process Improvement & Automation
Audit workflows, identify bottlenecks, and champion Lean/Kaizen initiatives.

8. Compliance & Data Security
Support audits and maintain records aligned with compliance and data-security standards.

9. Ad-hoc Projects & Special Initiatives
Assist with dashboards, intranet redesigns, task forces, and provide research, data collection, and reporting support.
