Position Summary
Under general direction of the Executive Director of Athletics (EAD), the Associate Athletic Director (AAD) provides advanced administrative, fiscal/budget, and operational support for the College's intercollegiate athletics program. This position is responsible for coordinating core business and administrative functions including travel logistics, budget/audit oversight and account reconciliation, procurement including procurement of student insurance and payment processing, and departmental operations.

The Associate Athletic Director supports the Executive Director of Athletics in the implementation and daily execution of athletics programs, ensuring alignment with institutional policies, sound fiscal management, and efficient operational practices. This role requires the exercise of independent judgment, attention to detail, and the ability to coordinate multiple functions in a dynamic, start-up athletics environment.

Essential Functions

Administrative Operations

  • Coordinate and support day-to-day administrative operations of the athletics department
  • Develop, implement, and maintain administrative procedures and workflows to ensure operational efficiency and compliance
  • Serve as liaison with Business Office, Human Resources, Financial Aid, Admissions, Faculty and other campus departments
  • Formulate MOUs with local ISDs and municipalities
  • Maintain official departmental records, reports, and documentation in accordance with NJCAA compliance and College requirements

Travel Coordination

  • Coordinate all team, recruiting, and administrative travel arrangements, including transportation, lodging, and itineraries
  • Ensure compliance with College travel policies, procedures, and budget limitations
  • Track travel expenditures and complete required reconciliations and reporting
  • Collaborate with coaches to align travel logistics with competition schedules

Budget & Fiscal Administration

  • Assist with development, monitoring, and management of athletics budgets
  • Review, track, and reconcile expenditures to ensure alignment with approved budgets and funding sources
  • Prepare financial reports, projections, and supporting documentation as requested
  • Ensure compliance with College purchasing, contracting, and financial control procedures

Procurement & Accounts Payable Processing

  • Process requisitions, purchase orders, invoices, and payment requests in accordance with College procedures
  • Coordinate procurement of equipment, uniforms, supplies, and services
  • Maintain accurate records of purchases, contracts, and vendor relationships
  • Assist with inventory tracking and asset management

Event & Game-Day Operations

  • Assist with planning and coordination of game-day operations and athletic events
  • Coordinate logistics with Facilities, Campus Police, IT, and other support departments
  • Support scheduling, staffing, and operational readiness for competitions and events
  • Assist with event-related financial tracking and reconciliation

Compliance & Reporting Support

  • Maintain documentation to support compliance with NJCAA, Title IX, and College policies
  • Assist in tracking eligibility documentation, rosters, and required reporting
  • Support internal audits and reviews related to athletics operations

Program Support & Coordination

  • Support implementation of athletics program initiatives, including startup and expansion efforts
  • Assist with onboarding and administrative support for coaches and athletics staff
  • Contribute to development of systems that enhance operational efficiency and student-athlete support
  • Coordinate and support drug testing protocols in alignment with institutional policies and NJCAA requirements, including education, compliance monitoring, and referral to appropriate support resources when needed
  • Assist in the administration of student-athlete discipline processes, ensuring alignment with institutional policies, NJCAA regulations, and principles of fairness, accountability, and student development

Supervisory Responsibilities

  • May supervise administrative support staff, student workers, and part-time event personnel as assigned


Qualifications
Minimum Required Qualifications

  • Bachelor's degree from an accredited institution
  • Minimum of three (3) years of progressively responsible experience in administration, business operations, athletics administration, or related field
  • Demonstrated experience with budget tracking, purchasing, and administrative processes
  • Strong organizational, analytical, and problem-solving skills
  • Proficiency in Microsoft Office Suite and experience with financial or ERP systems and AI platforms

Preferred Qualifications

  • Master's degree in sports management, business administration, or related field
  • Experience in collegiate athletics administration (NJCAA, NCAA, or NAIA)
  • Experience with travel coordination and logistics management
  • Familiarity with Texas public higher education finance and procurement processes
  • Experience supporting new or expanding programs for student-athletes

  • Knowledge of administrative and fiscal management practices
  • Ability to interpret and apply policies, procedures, and regulations
  • Ability to manage multiple priorities and meet deadlines in a fast-paced environment
  • Strong interpersonal and communication skills with the ability to work effectively across departments
  • Ability to exercise sound judgment and maintain confidentiality

Working Conditions

  • Primarily office environment with frequent interaction across campus
  • Evening and weekend work required to support athletic events
  • Travel may be required
  • This is not a remote work position

Physical Requirements

  • Ability to stand and walk for extended periods during events
  • Ability to lift and carry up to 25 pounds
  • Ability to perform routine office tasks
