Job Description

Job Summary

The Administrative Assistant will support MIDA New York’s administrative, financial, and operational functions to ensure efficient day-to-day office operations in promoting investment and strengthening Malaysia–United States economic relations. The role involves office administration, financial coordination, records management, event support, and engagement coordination while working closely with internal officers and external stakeholders in a professional international environment.

Responsibilities

  • Provide administrative and secretarial support to the Director and Deputy Director.
  • Manage calendars, appointments, meetings, and domestic/international travel arrangements.
  • Handle office correspondence, stakeholder inquiries, filing systems, and personnel records.
  • Support financial operations, including payment processing, vouchers, claims, and ledger management.
  • Maintain office inventory, assets, procurement activities, and vendor coordination.
  • Assist in planning and coordinating meetings, seminars, conferences, working visits, and investment promotion activities.
  • Support operational requirements for high-level delegations, trade missions, and official programmes.
  • Perform other duties assigned by management.

Qualifications & Experience

  • Minimum High School Diploma or equivalent qualification.
  • Certificate in Office Administration or Associate Degree in a related field is an added advantage.
  • 3–5 years of experience in administration, office management, or related functions.
  • Strong proficiency in Microsoft Office applications; IT troubleshooting and networking knowledge is advantageous.
  • Strong communication, organisational, interpersonal, and multitasking skills.
  • Ability to maintain professionalism, confidentiality, and attention to detail.
  • Must be a U.S. Citizen, Permanent Resident, or Green Card holder.

Willingness to work flexible hours, including weekends and public holidays when required.
